Terms & Conditions
1. Overview
Dana’s Wellness Haven provides holistic health and life transitions coaching services in a virtual setting. By scheduling, purchasing, or participating in any coaching service, you acknowledge that you have read, understood, and agreed to these Terms and Conditions, which form a binding agreement between you (the “Client”) and Dana’s Wellness Haven (“the Coach,” “we,” or “our”).
All coaching services are provided virtually and governed by the laws of the State of New York. These terms are designed to ensure clarity, fairness, and respect for both parties.
2. Payment Terms
All payments for coaching sessions and programs are processed securely through Vibly, the designated scheduling and payment platform for Dana’s Wellness Haven.
Clients are required to submit full payment prior to the first scheduled session in order to confirm and hold their appointment time. Payment is due upon receipt of the invoice or at the time of booking through Vibly.
For sliding scale clients, invoices are manually generated through Vibly by Dana’s Wellness Haven. These invoices must also be paid in full before the initial session begins.
Dana’s Wellness Haven does not accept cash, personal checks, or alternative payment methods outside of Vibly. Coaching sessions will not proceed until payment has been received and confirmed.
In the event of a late or missed payment, the coach reserves the right to cancel or reschedule sessions until the balance is paid. Continued nonpayment may result in termination of services.
3. Cancellation & Refund Policy
Coaching requires a mutual commitment of time, energy, and accountability. To maintain fairness and consistency, the following policy applies:
Client Cancellations:
Clients are asked to provide at least 24 hours’ notice if they need to cancel or reschedule a session. Cancellations or rescheduling made less than 24 hours in advance may result in the session being forfeited and considered completed.
Repeated short-notice cancellations may result in future bookings being declined or paused until the client’s schedule stabilizes.
Refunds:
All payments are considered non-refundable once a session or package has begun, as coaching represents an ongoing, collaborative process rather than a one-time service. Exceptions may be made for unforeseen emergencies at the discretion of Dana’s Wellness Haven.
If a client purchases a multi-session package and chooses to discontinue coaching before completing the agreed sessions, any unused portion may be credited toward future services within three (3) months, unless otherwise agreed in writing.
Coach Cancellations:
In the rare event Dana’s Wellness Haven must cancel or reschedule a session, clients will be offered the earliest possible alternative appointment. No prepaid session will ever be forfeited due to a coach cancellation.
No-Show Policy:
Failure to attend a scheduled session without prior notice will be treated as a no-show and will not be rescheduled or refunded.
4. Service Disclaimer
Coaching is a professional partnership focused on personal development, clarity, and growth. It is not a substitute for therapy, medical treatment, or crisis intervention. Clients are responsible for their own decisions, actions, and outcomes.
By engaging in services with Dana’s Wellness Haven, you acknowledge that no guarantees of outcome are being made and that coaching is a collaborative, co-created process.
5. Agreement
By booking a session or purchasing a package through Vibly, you confirm that you have read and agreed to these Terms and Conditions and understand the policies regarding payments, cancellations, and refunds.
